Privacy Policy

La Fábrica London (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains how we collect, use and safeguard your personal data — on our website, through our enquiry and booking process, and inside the La Fábrica Hub — in accordance with the UK General Data Protection Regulation (UK GDPR).
01Who we are
La Fábrica London runs Bachata classes, labs, exams, private lessons and socials in London, UK, and operates the La Fábrica Hub — the member application you are using. We are the data controller for the personal data described in this policy. You can reach us at enquiries@lafabricalondon.com.
02Information we collect
Before you join, through our website and enquiry process we may collect:
- full name;
- email address;
- telephone number;
- Instagram handle;
- videos submitted for assessment purposes;
- information related to class, lab or private lesson enquiries;
- payment-related information, processed securely by our payment provider.
Once you hold a Hub account, we also process the records the Hub needs to run your membership:
- Account — your name, email address and the sign-in method you use (email and password, or Google).
- Profile — optional details you choose to add, such as phone number, Instagram handle, birthday, a short bio and your preferred dance role (lead or follow).
- Level and progress — your assigned class level, syllabus progress and progression records.
- Attendance — check-in records for the sessions you attend, including the date, session and the dance role recorded for that class.
- Membership — your plan, membership cycles and the four class sessions allocated to each cycle, plus pause, resume and cancellation history.
- Events — bookings for socials and events, any event credit held on your account, and the outcome of a cancelled event.
- Assessments and exams — exam entries, marks, resulting grade and written feedback recorded by the teaching panel.
- Notifications — your notification preferences, the notifications sent to you inside the Hub, and — only if you turn it on — the push subscription for a device.
- Payments — a record of each purchase: what was bought, the amount, the currency, the status and the date.
- Consent — the date you accepted these policies, the version accepted, and whether you opted in to marketing.
- Administrative records — an internal log of significant staff actions on your account, such as an attendance correction or a membership change.
Personal data is collected when you submit a form, contact us directly, create a Hub account, or proceed with a booking.
03How we use your information
- Review class, lab and private lesson requests.
- Assess level suitability, including from submitted information and videos.
- Communicate acceptance, recommendations or next steps.
- Create and run your Hub account and give you access to the classes you have paid for.
- Take payment and keep accurate financial and booking records.
- Record attendance, syllabus coverage, exam results and progression.
- Manage class participation and scheduling, and respond to enquiries and support requests.
- Send service messages about your classes, bookings, exams and account.
- Keep the Hub secure and investigate misuse or errors.
- Send optional news about classes, socials and events — only if you opted in.
- Improve our services and internal processes.
04Legal basis for processing
We process your data on the basis of:
- your consent — for marketing emails and for device push notifications;
- the performance of a contract — your membership, bookings and class access;
- our legitimate interests in running, securing and improving our services;
- legal obligations, such as financial and accounting record keeping.
05Payments and Stripe
We do not store or process payment card details ourselves. Card payments are handled directly by Stripe, our payment provider: your card number, expiry date and security code are entered on Stripe's own checkout and processed by Stripe under its own privacy policy.
What we keep is the record of the transaction itself — what was purchased, the amount, the status, whether a refund or credit was issued, and when. Technical references used to reconcile a payment with Stripe are stored internally and are not displayed in full.
06Notifications and push
The Hub shows notifications inside the app — class reminders, check-in confirmations, cancellations, exam and membership updates, and school announcements relevant to you.
You may also choose to receive push notifications on a browser or device. Push is optional and is never switched on for you: it requires your explicit browser or device permission. If you enable it, we store the subscription details your browser generates for that device, used solely to deliver notifications.
You can turn class reminders and announcements on or off in your profile, switch push off for a device at any time, and revoke notification permission entirely in your browser or device settings. Essential messages about check-ins, cancellations and your account remain available inside the Hub.
07Photos and video
We may take photos or video during classes for training or promotional purposes, and we always announce when a recording is taking place. If you do not wish to be filmed or photographed, tell a teacher before the session begins and we will respect your request.
Videos you submit for assessment are used to judge level suitability and are not published without your agreement.
08Data sharing
We do not sell or rent your personal data, and we do not share it for advertising. Your information is shared only with trusted service providers where necessary to operate our services:
- Stripe — payments, refunds and subscription billing.
- Our cloud platform — hosting of the application, the database, file storage and account authentication, including transactional account emails such as password resets and email confirmations.
- Form and enquiry tools — used outside the Hub to manage enquiries and assessment submissions.
- Google — only if you choose to sign in with Google, in which case Google confirms your identity and shares your name and email with us.
- Browser and device push services — operated by your browser or device maker, used to deliver push notifications if you enable them.
09Who can see your data inside La Fábrica
Access inside the Hub is limited by role. Teachers see only what they need for the sessions they actually teach — the class roster, dance role, attendance and the assessment records for those sessions. They do not have access to phone numbers, birthdays, payment records or school-wide personal details.
Administrators can see the operational records needed to run the school, including membership, booking and payment history.
11Data retention
We retain personal data only for as long as necessary to fulfil the purposes set out in this policy — assessment, communication, participation and membership management — unless a longer period is required by law. In practice this means:
- Payment, refund and booking records — retained for financial and accounting obligations.
- Membership and cycle history — retained as the record of the access you purchased.
- Attendance, exam results and progression — retained as the record of your learning history.
- Administrative logs of staff actions — retained so account changes remain auditable.
When an account is closed, records we are required to keep may be retained in a reduced form rather than deleted immediately.
12Closing your account
The Hub does not currently offer self-service account deletion. To close your account, email enquiries@lafabricalondon.com or contact the team through the Connect page in the Hub. Account removal is carried out by a senior administrator. Records we must retain for financial or legal reasons are kept as described above.
13Your rights
You have the right to:
- access your personal data;
- request correction or deletion;
- withdraw consent at any time;
- object to or restrict processing;
- request data portability.
You can update most of your profile details yourself in the Hub, and change marketing and notification preferences at any time. For anything else, contact us at enquiries@lafabricalondon.com. You also have the right to complain to the UK Information Commissioner's Office.
14Data security
We take reasonable measures to protect your personal data from unauthorised access, loss or misuse. Access to student information inside the Hub is limited by role, payments are handled by our payment provider, and connections to the Hub are encrypted.
15Changes to this policy
We may update this policy as the school and the Hub develop. The version and date at the top of this page always show the current edition, and where a change materially affects you we will tell you in the Hub.
